A sealed drum or tanker can contain the correct product yet fail the receiving cleanliness or handling requirement for a sensitive machine. Sampling only after filling the reservoir makes it difficult to separate supplier, transport, storage and transfer contamination.
Define the receiving specification
Separate product conformity from site cleanliness. Product identity may use viscosity, density, additive fingerprint or other grade-specific properties. Cleanliness and dryness requirements depend on the equipment, transfer route and risk. The purchase specification should name methods, units, sampling plan and decision rule.
Keep a retained reference sample or verified new-oil baseline where the programme needs additive and spectral comparison. Confirm that the sample truly represents the accepted batch and has not been contaminated by the receiving container.

Sample the delivery population
A drum, tote, tanker and bulk tank are different populations. Settling and stratification can make a single top sample misleading. Use the applicable contract or sampling standard to decide how many containers, locations or increments are required.
For routine site control, use a clean dedicated point that can be flushed and sampled without opening the container to dirt or moisture. Investigation of bottom water or sediment may deliberately use a different point and must not be merged into the routine trend.
Protect oil in storage and transfer
Store containers sealed, dry, identified and protected from weather and temperature extremes. Use dedicated or verified-clean transfer equipment, filtered dispensing where required, and controlled breathers on bulk storage. Colour coding can reduce handling errors but cannot replace product identification.
Sample after filtration when the question is release cleanliness; use paired upstream and downstream evidence when evaluating the filtration process. Record filter element, beta rating, flow and transfer path.
Create the in-service baseline
After fill, circulation or commissioning, collect an early baseline under stable operation. It may differ from the retained new-oil reference because of residual old oil, flush material, break-in debris or system contamination. Record that discontinuity instead of forcing the old and new histories together.
A receiving programme is successful when it prevents wrong-fluid events, controls introduced contamination and gives maintenance a defensible starting point for future trends.
